Generic Publication Patterns
KBA-01412-V3R4
Question
How do I create generic publication patterns?
Answer

Predication patterns which will be used to open serial item records for check-in can be created either in the holdings record in the Cataloging module or from the [N] Patterns node in the Acquisitions/Serials module, as described in the LINCC Serials manual or in Ex Libris documentation. Additional information about pattern fields can be found on the MARC 21 for Holdings page at the Library of Congress.

See below for generic publication pattern examples and created pattern templates for use in Aleph.

To use the patterns, after opening the default templates, modify the data in the 853 field as needed with information about the publication (e.g., does it have volumes printed on it, does it have month and year printed on it, does it have combined issues, etc.) and modify information in the 853X field using actual publication information based on the issue in hand (e.g., current month/day/year and volume/issue). Patterns should always begin with the first issue in the volume (e.g., v.23:no.1, v.46:no.1), even if the first item received is in the middle of a volume (e.g., holding in hand v.23:no.6, v.46:no.3).

Tips identified in one pattern example can be applied to other pattern examples to achieve the desired pattern. Examples include omitting issues, omitting weeks or days of the year, and combining issues.

Confirm that the issues to be opened are correct using the Preview Publication Schedule option in the Cataloging module or the Expected Schedule tab in the Acquisitions/Serials module before opening items.

Patterns can be created in the holdings record in the Cataloging module or from the [N] Patterns node in the Acquisitions/Serials module, as described in the LINCC Serials manual.

To use these patterns, enter the appropriate information in the 853 field and modify information in the 853X field using actual publication information. The dates entered will vary depending on the date of the first issue. Patterns should always begin with the first issue in the volume (e.g., v.23:no.1, v.46:no.1), even if creating the pattern from the middle of the volume (e.g., holding in hand v.23:no.6, v.46:no.3).

Tips from one pattern example can be applied to other pattern examples to achieve the desired pattern. Examples include omitting issues, omitting weeks or days of the year, and combining issues.

Confirm that the issues to be opened are correct using the Preview Publication Schedule option in the Cataloging module or Tab 5. Expected Schedule in the Acquisitions/Serials module before opening items.

In the following examples, each pattern is depicted beginning with a screen print of the holdings record. It is followed by screen prints of items opened from the pattern, Tab 3. Pattern, and Tab 4. 85xX.

Bimonthly, with combined enumeration and combined chronology

Enumeration: volume and number/number

Chronology: year and month/month

Example 1

Note: In this example, the 853X subfield b indicates that the enumeration is combined and the 853X subfield j indicates that the months are combined.

Pattern in the holdings record:

image034.jpg (577×254)

Example 2

Note: In this example, the 853 subfield y is not used. The 853 subfield w is changed from a ‘6’ to a ‘b.’ The 853X subfield b indicates that the enumeration is combined and the 853X subfield j indicates that the months are combined

Pattern in the holdings record:

Either pattern opens the following items:

image230.jpg (515×163)

Weekly, with exceptions

Enumeration: volume and number

Chronology: year, month, day

Note: In this example, there are 49 weekly issues published on Wednesdays. The volume skips three Wednesdays. The pattern must be adjusted annually by looking up the exact dates that are skipped.

image238.jpg (517×164)

Weekly, no issues published first week of the calendar year

Enumeration: volume and number

Chronology: year, month, day

Note: The publication in this example starts with the first issue of the volume on Sept. 1, 2006 and skips the first week in January 2007. The 853 subfield y is used to omit the first week in January. After opening the first time, verify that the 853X starting volume and dates are correct.

Pattern in the [N] Patterns node:

Tab 3.Pattern

image244.jpg (541×344)

Tab 4.85x

image246.jpg (513×163)

Weekly, no issues published in last week of calendar year

Enumeration: volume and number

Chronology: year, month, day

Note: The pattern assumes that the day entered as the start date is to be repeated each year. For example, Jan 1, 2006 is a Sunday. The next set of expected issues will begin on the first Sunday in January 2007 (Jan 7, 2007).

The pattern will work best if the 853 subfield y omits the 53rd week. The pattern will need to be adjusted in future years, such as 2007, by changing the 853 subfield y to omit the 52nd and 53rd weeks. The starting volume, issue number, and dates in the 853X may need to be adjusted. If the issues don’t predict correctly beyond that, such as in 2008, change the 853 subfield y so that it just omits the 53rd week and adjust the dates in the subfield 3, I, j, and k to match.
