How do I close old serial bibliographic records?

Answer

Bibliographic records for serials change periodically based on changes in details about each publication. For guidelines about changes that require a new record, consult the LINCC Database Guidelines. For additional information about changes that require a new record, see the CONSER Cataloging Manual, module 16. If the bibliographic record should be closed and another bibliographic record downloaded to use in its place, library staff should contact the cataloging staff at their institution. Cataloging staff should:

  • Post an e-mail to the FLVC-LINCC-TECH discussion list about the planned change.
  • Download a new record and close the old record.
  • Move holdings/subscriptions/items or create new holdings/subscriptions/items as necessary.

The nature of serials cataloging means there will be cases in which no decision can be arrived at easily. It is often useful to consult with colleagues on FLVC-LINCC-TECH.

The SUS libraries also have a discussion list on which they discuss changes to serial records. The discussion list, SERCLIENT-L was originally created as a means for the universities to share information about serial bibliographic records in the shared bib environment. It is open to both college and university library staff.  KB article KBA-01507-Q0Q4 provides more information about SERCLIENT-L, including how to subscribe.
