How do I search by format in Aleph?
Answer

Bibliographic records can be searched by format/type in LINCC. Records may be more than one type, therefore, the search must be performed with specified type codes. A list of type codes is included at the end of this document. LINCC searches the LDR, 006, 007, and 008 fields as appropriate. Material types located in drop-down lists, such as video and series, may also be used.

Searching by Format

To search the Aleph client 

1.      From any module, click the Search activity tab and then select the Find node.

2.      In the upper pane, click the 1. Advanced Search tab.

3.      To limit the search to a subset of LINCC, click the arrow to the right of the Base field, and then make a selection from the list. The search can be limited to a particular institution (e.g., Manatee BIB) or to a particular sublibrary (e.g., MJC Bradenton BIB; MJC Venice BIB).

4.      Click the arrow to the right of the first search field. A list of available search options will appear. Select Record Type (Format). In the adjacent box, enter the appropriate type code.

5.      Click OK. Search results will appear in the lower pane. All searches are saved until the module is closed. Individual searches can be deleted while the module is open by selecting the search summary in the list and then clicking Remove.

§   If five or fewer records are found, the records are automatically displayed in the Show view.

§   If more than five records are found, a summary of the search criteria, the database used, and the number of records located will be displayed. To view the records, click Show.

6.      The Brief List tab will appear in the upper pane. Select a record to view details in the lower pane.

Expanding and Limiting Format Searches

The search feature can be used to expand or limit the records retrieved.

To expand a search

1.      From any module, click the Search activity tab and then select the Find node.

2.      In the upper pane, click the 1. Advanced Search tab.

3.      Click the arrow to the right of the Base field and select a database from the list.

4.      Click the arrow to the right of the first search field. A list of available search options will appear. Select Record Type (Format). In the adjacent box, enter the appropriate type code.

5.      Select Or, located beneath the first row of search fields.

6.      Click the arrow to the right of the second search field. A list of available search options will appear. Select any option, such as Record Type (Format). In the adjacent box, enter the appropriate term or code type.

7.      Click OK. Search results will appear in the lower pane.

To limit a search 

1.      From any module, click the Search activity tab and then select the Find node.

2.      In the upper pane, click the 1. Advanced Search tab.

3.      Click the arrow to the right of the Base field and select a database from the list.

4.      Click the arrow to the right of the first search field. A list of available search options will appear. Select Record Type (Format). In the adjacent box, enter the appropriate code type.

5.      Select And or Not, located beneath the first row of search fields.

6.      Click the arrow to the right of the second search field. A list of available search options will appear. Select any option, such as Record Type (Format). In the adjacent box, enter the appropriate term or code type.

7.      Click OK. Search results will appear in the lower pane.

Using Format Type Codes

 LINCC searches the LDR, 006, 007, and 008 fields as appropriate.
