How do I create items for multi-volume works in Aleph?
Answer

Use the following instructions to create items quickly for display in the Aleph client and LINCCWeb catalog (OPAC).

To create items for multi-volume works 

1.      In the Cataloging module, find the bibliographic record for the title and edit it, if necessary.

2.      Push the title to the Items activity tab. In the upper pane, click New.

3.      Click the 2. General Information (1) tab and complete the following fields:

§   Barcode: Enter a valid barcode.

§   Sublibrary: Click the arrow to view available options, and then select a sublibrary from the drop-down menu.

§   Collection: Click the arrow to view available options, and then select a collection from the drop-down menu.

§   Material Type: Click the arrow to view available options, and then select a material type from the drop-down menu.

§   Item Status: Click the arrow to view available options, and then select an item status from the drop-down menu.

§   Item Process Status: If necessary, click the arrow to view available options, and then select an item processing status from the drop-down menu.

§   Description: Enter enumeration information to be displayed in the LINCCWeb catalog (e.g., enter “v.1” for Volume 1).

§   Enum. Level.1 (A)(v.): Enter the enumeration of the item without a prefix (e.g., enter the number 1 for Volume 1). This number will be used for sorting in the Aleph client and in the LINCCWeb catalog. Do not enter anything in this field for Copies.

§   Enum. Level.2 (B)(no.): Enter the part information if the volume comes in multiple parts. If not applicable, leave blank.

4.      Edit other fields if necessary, and then click Refresh to check the record.

5.      Click Add to save the record.

6.      The Items List tab will appear and the newly created Items record will be listed. Create and edit a holdings record.

7.      To create additional items, select the newly created item and click Duplicate.

8.      An Item record window will appear and all necessary fields will be populated. Enter a barcode number and edit the Description and Enum. Level fields.

9.      Click Update. The Items List tab will appear and the new item will be listed. It should be automatically linked to the holdings record.

10.   If items in the Items List tab are not displayed in the desired order, change the Sort Options setting at the bottom of the pane. The setting Hol./Desc./Library/Collection works well. Items will be displayed in the LINCCWeb catalog as indicated in the following image.
