Answer
To manually catalog an eBook in Aleph

1.      Obtain or create a MARC record of the eBook. The BIB record must include the following:

§   It must be a Book Format record.

§   It should have a physical description field (007) which identifies it as an electronic resource. The first two positions should be “cr.”  The “c” stands for electronic resource and the “r” stands for remotely accessed.

§   In the fixed field information (008), there should be an “s” in the form of item space (23). This means that the book is in electronic format.

§   Change any ISBN fields (020) from a $a to a $z. This allows the ISBN to be searchable but not “matchable” for outsourcing procedures.

§   Add a 910 field with a $a containing the prefix of the vendor followed by the eBook ID number. eBook vendor IDs are listed in the following section. Also add a $x with the statement “Do not edit or delete this field.”

§   Add an 856 field with the first indicator 4, a second indicator 1, a $u that contains the URL “http://www.linccweb.org/webscripts/ebooks.asp?bookid=” and the prefix of the vendor ID and the eBook ID number. Also add a $y with the statement “Click here to view this eBook. Access is restricted to valid borrowers.”

2.      Save the BIB record in Aleph.

3.      Create an item record for the eBook. The item record should have the following:

§   Sublibrary: Choose the XXXEB sublibrary where the XXX your three-letter college designation (e.g., PCCEB).

§   Collection: Choose the ELECT collection from the list.

§   Material Type: Choose EBOOK from the list.

§   Item Status: Choose 82 (Internet) from the list.

4.      Save the item record in Aleph.

5.      In the Items tab, create a HOL record for the eBook. Edit the HOL record so that:

§   The first indicator of the 852 field is 8.

§   The $h of the 852 field contains the two-letter vendor ID and then the eBook ID number. Vendor ID’s are listed in the following section.

6.      Save the HOL record in Aleph.

7.      Test by looking up the record in the LINCCWeb catalog (OPAC) and clicking on the link in the record as well as the holdings statement in the brief display.

If you wish to track your e-book records using orders, please crate a short bib to do so.  Please do not use the actually e-book record itself, since e-books are periodically updated or deleted by the vendor.
