UBorrow Processing - Staff Privileges

Summary

Each user processing UBorrow requests must be assigned an "ILL Unit" on the "User Password Information" window. This is the window that is opened when selecting a user in the user names list and then clicking on the "Modify User" button to the right.

Users must also be assigned specific permissions (Access Rights) under the XXX40 (ILL) and XXX50 (ADM) libraries.  This can be individually or through a "proxy".

For the initial launch of UBorrow we created new UBorrow "proxies" that corresponded to many of the proxies that were being used for Circulation staff. We ran into some user name length issues but in general the new "UBorrow" users either begin with "UB" or end with "UB" to make them distinctive and to associate them with the UBorrow functionality. A more general discussion of this work is below. Here is a list of the specific individual permissions that were added to allow staff to work in the ILL client for UBorrow:

Under XXX40 (ILL Library)

Assign under "Items" tab:

o      Items Control - All Unspecified Subfunctions

Assign under "Interlibrary Loan" tab:

o      ILL - Borrowing - All Unspecified Subfunctions

o      ILL - Lending - All Unspecified Subfunctions

o      Ill - Management - All Unspecified Subfunctions

o      Borrowing Services - All Unspecified Subfunctions

o      Management Ill Services - All Unspecified Subfunctions

o      Lending Services - All Unsecified Subfunctions

Assign under the "Common" tab:

o      Task Manager - All Unspecified Subfunctions

o      Services Interface - All Unspecified Subfunctions

o      Private Services - Custom (30) - X-Server Interface - All Unspecified Subfunctions

Under XXX50 (ADM Library)

Assign under "Interlibrary Loan" tab:

o      ILL - Borrowing - All Unspecified Subfunctions

o      ILL - Lending - All Unspecified Subfunctions

o      Ill - Management - All Unspecified Subfunctions

o      Borrowing Services - All Unspecified Subfunctions

o      Management Ill Services - All Unspecified Subfunctions

For the UBorrow "proxies" mentioned above, here is the process used for creating them. First we identified existing proxies that were associated with staff who would perform UBorrow duties. Usually a user with Circulations privileges (supervisors, assitants, students, etc...) were proxied to. Those existing users were "duplicated" to create the new "UBorrow" user. The name of the uborrow user was based on the original usually with the string "UB" at the beginning or end to signify that the proxy users is used for uborrow work. After the new uborrow proxy user is created the specific permissions specified above and under the correct library were added to the user's Access Rights. Users identified for uborrow had their "Function proxy" replaced with the new uborrow proxy and thus transfer all the original and uborrow permissions to the user. Each user also had the appropriate "Ill Unit" added to the "User Password Information" screen. There is a selection dropdown for the ILL Unit that has been configured with the available ILL Units per institution. Once the user has been given the ILL Unit and proxied to a UBorrow proxy user the staff member can then work with UBorrow at your institution. You are not constrained to always using a proxy. You can assign the ILL Unit and the Access Rights listed above under the correct library directly to the user if they don't get their permissions through the proxy mechanism.
